RE: Important Unclaimed Property Reporting Notification - Indiana


Dear Sir or Madam:

This letter is to notify you and your company, <company> of a forthcoming process change that will significantly impact all Holder entities that report unclaimed property to the State of Indiana.

The Office of the Attorney General is currently in the process of completing a comprehensive overhaul of Indiana's Unclaimed Property reporting software that will completely modify all present escheat and receipts collection procedures.

It is our intent and expectation that the new system will deliver vast improvements in efficiency, security, and user-friendliness. However, in the interim, it is imperative that all active Holders temporarily refrain from compiling their 2009 annual reports, for the State of Indiana only, so as not to frustrate efforts on both sides and to avoid the possibility of being required to file more than one annual report.

To assist in this transition, it is essential that the State of Indiana possess current contact information on file for <company> so that you will receive vital and mandatory registration and training notices and instructions as the conversion date nears. We strongly encourage you to contact us, either via phone or email, to confirm that all contact information we maintain for your organization is valid and current. In addition, we urgently request that you please also communicate this correspondence with any internal departmental parties or outside agents or vendors <company> utilizes that may be affected by the approaching transition.

Should this one-time temporary stop request result in an operational delay that may prevent <company> from fully delivering to the State of Indiana by the statutory November 1 deadline, the Office of the Attorney General is prepared to offer a non-penalty/non-interest extension, and, to coordinate post dated reports with <company> to ensure an accurate and complete submission as soon as possible.

Please note that this technical change is purely process-based, and does not in any way alter or affect established Indiana statutory compliance requirements, nor does it preclude <company> from fulfilling its normal due diligence prerequisites. Similarly, all existing NAUPA codes, holding periods, and full owner information disclosure obligations remain relevant.
